This policy explains how ELITE ACADEMY — Sports & More in Ramallah ("the academy") collects, uses and protects personal data on this website and in the academy's management app on the web and on phones.
Data we collect
- Members (children and adult players): name, birth date, photo, program, group and training time, attendance, fees, payments and receipts, coach notes, and health notes if a guardian provides them.
- Guardians: name, phone number (WhatsApp) and an emergency contact.
- Staff: name, email, phone number, role and the venues they work at.
- Consents: the guardian's consent to photos and to WhatsApp messages.
- Audit log: who changed what, and when, in financial and member data.
Why we use it
To run registration, groups and attendance, to work out fees and issue receipts, to contact guardians, and to keep members safe during training. We do not sell data and do not use it for advertising.
Who can see it
Each user sees only what their work needs, and the database itself enforces it:
- A coach sees their own groups; a venue admin sees the venue they work at.
- A guardian sees only their own children's data.
- Health notes are shown only to the roles that need them.
- Photos are kept in private storage and shown through links that expire after a few minutes.
Where it is stored and who processes it
We use service providers that process data on our behalf and only for our purposes:
- Supabase: database, sign-in and photo storage. App data is stored on servers in the European Union (Frankfurt), with daily backups.
- Cloudflare: hosting this website and the app, and forwarding email sent to our address.
- Resend: sending account emails, such as staff invitations and password resets.
How we protect it
Connections are encrypted (HTTPS), access is limited by role, the director and finance must use two-step verification, and every financial change is recorded in a log that cannot be deleted.
How long we keep it
We keep data as long as it is needed for the purposes above, or as long as the law requires (for example, financial records), and then delete it.
Children's data
A guardian provides a child's data at registration. Consent to photos and to WhatsApp messages is optional and can be withdrawn at any time.
Your rights
You can ask to see, correct or delete your data, or withdraw a consent, by writing to us at the address below. We may keep financial records that the law requires us to keep.
Cookies and storage on your device
This website sets no cookies of its own and uses no analytics or tracking tools. The app stores your sign-in session and your language and theme preferences on your device only.
Changes to this policy
We publish any change on this page with the date it was updated.
